Payroll Coordinator

The Payroll Coordinator, reporting to the Manager, Finance and Payroll, will support with data validation, input of schedules, reconciliation and processing of bi-weekly payroll runs and any other payroll functions. The successful candidate will be required to work Monday-Friday 8am-4pm.
 

Essential Job Functions

  • Train employees on UKG Dimensions regarding scheduling input and accurate coding
  • Initiate system setup (UKG Dimensions and Virtuo Payroll) is kept up to date and maintained for payroll to be correctly calculated
  • Provide accurate and timely payments to employees, satisfying the audit and legislative requirements in the process
  • Conduct data integrity audits
  • Review payroll output for errors and accuracy and initiate appropriate adjustments
  • Maintain documentation and provide accurate and timely payroll and personnel information to authorized personnel and external agencies
  • Strong knowledge of Collective Agreements to ensure schedules, sick time, stats, lieu and vacation are being used in accordance with the various agreements
  • Make statutory deductions as legislated and other types of deductions where employee has provided written authorization
  • Analyze employee benefits and prepare remittances and requisitions
  • Complete financial, statistical and other informational reports for both internal and external stakeholders as required
  • Create and analyze reports, such as pension weeks to ensure FT staff reach their maximum pensionable hours
  • Input schedules into software as required
  • Complete Healthcare of Ontario Pension Plan (HOOPP) annual contribution reports and reconciliations
  • Prepare and reconcile T4’s, T4A’s, and other various year end reports
  • Prepare Records of Employment (ROEs) and respond to Employment Insurance (EI) inquiries
  • Ensure confidentiality and security within the department
  • Perform special projects and other duties as assigned
Qualifications
  • Post-secondary diploma or equivalent in Payroll, Accounting, and/or Business required
  • 2-4 years of Payroll experience preferred
  • Completion of Canadian Payroll Association certification considered an asset
  • Excellent computer skills with proficiency in Microsoft Excel and Word
  • Knowledge of government regulations pertaining to Canada Pension Plan, Employment Insurance, Income Tax, Records of Employment, Employment Standards Act of Ontario, etc.
  • Ability to maintain the highest level of confidentiality
  • Exceptional organizational and interpersonal skills
  • Functions effectively as part of a team and can also work independently with minimal supervision
